Tips For Organising a Conference
I know that the world is a little scary for us all at the moment, and for some, life, as we know it has come to a temporary stop – many people are furloughed or working from home, others are still working in our hospitals, care homes and shops. We are no longer allowed to attend big gatherings like concerts, meetings or conferences. But there will come a time when everything gets back to normal and everything will start back up including business meetings, large conferences and concerts which will all no doubt need an online RSVP.
I know everyone is feeling lost but I promise this is only temporary and won’t be forever even if it seems like it at the present time. However, some of us have no choice but to continue – key workers, essential workers and those of us who own our own businesses and are working from home. If you are someone working from home and wanting to plan a conference for when things are back to normal there are a few things you can do in the meantime including:
Set a date in the future
Set a date that is well into the future so that hopefully everything is back to normal. There is no harm at all giving people something to look forward to at all in fact it will give people some hope and a bit of normality in these crazy times. You can also decide if you are planning a one-off event or if you will need more than one date.
Find a venue
Call around to places where you want to host your event. At the moment many places are probably closed or working with reduced staff members. They will be busy trying to rearrange already planned events that can no longer go ahead. If you are planning your event for sometime in the next 6 months to a year I am sure that they will have availability. Make sure you book a venue that is suitable for the audience you are planning – there is no point hiring somewhere that will be too big or too small if you can’t fill the seats.

Advertise
You need to get the word out about your event. Use social media, radio, local papers and billboards if you can as this will ensure people are aware of your event. At the moment because everyone is at home, social media would be a great way of advertising. Both Facebook and Instagram have advertising available, the more you are willing to pay the more people will see your advert.
Sell tickets
Once you have your date, venue and advertising sorted you need to make sure you have somewhere people can buy and register their attendance. If you are planning to hold a conference, you should look at Eventbrite who will be able to help you with all your conference management needs.
